There’s nothing that causes a collective groan quite like a request for paperwork. You know you’re doing great work, but now you have to prove it? Well, yes. Funders want to know that you’re reliable, organized, and capable of handling their investment…and they won’t just take your word for it.

The Good News

Once you get those systems in place, you’ve leveled up. You’re no longer just a nonprofit doing good work. You’re a grant-ready organization.

Paperwork

Let’s start with the basics. Do you have current financial statements, a board-approved organizational budget, your W-9, and your 990 ready to go? Grantmakers look for signs that your organization runs smoothly and transparently. Without this kind of documentation, you won’t even make it to the starting line.

Narrative

Remember that funders don’t know anything about you; every application has to paint a compelling picture of the gap that you are filling. You need to be able to clearly and concisely answer the big questions:

  • Why does your organization exist?
  • Who do you serve, and how do you create change?

Start by writing a mission statement (if you don’t already have one!), a statement of need, and a program description. This will give you a launching pad to explain your work effectively.

Funders want to know that you’re reliable, organized, and capable of handling their investment.

Data

You don’t need specialized software, just a clear, consistent way to track your work over time. Pick a few simple indicators you can measure often and make sure your team is actually entering the data (yes, more groans!). You should be able to confidently provide an impact number for the last year and a corresponding goal for the current year.

Review the info regularly so you can spot trends, celebrate wins, and create informed plans for the future. Funders rely on these numbers to see that their dollars make a difference. Strong data builds trust and shows you’re a solid investment.

Impact Stories

Mix numbers with heart. The data helps you pass the first test, but the stories are what make you memorable. Gather quotes or testimonials— this can be done with something as simple as a QR code link to an online survey. Keep an eye out for photo opportunities (and keep signed releases on file). These touches make your impact feel real.

Getting grant ready may not be glamorous, but it’s one of the most empowering steps your organization can take. Once the systems are set, you can stop scrambling to make deadlines and focus on the work that matters most.
